What is Report and Support? 

Report and Support is a confidential tool for raising concerns and accessing support, help and guidance at Cardiff University. 

Students: Your report will go directly to the Student Support Intervention Team; trauma-informed practitioners who offer support around harassment, harmful behaviour, and urgent mental health concerns.  

Staff: Your report will go to the relevant HR team, who can guide you to appropriate support for bullying, discrimination, or sexual misconduct.  

In an emergency: 

Call 999 immediately if the situation involves serious risk, also contact University Security on +44 (0)29 2087 4444. For urgent mental health support, dial 111 and press option 2.  

Can I report something that happened off campus? 

Yes, you can report a concern even if it occurred off campus. 

Report and Support is available to all Cardiff University staff and students. External parties can also submit a report about staff or students or on their behalf . We understand that these situations can happen both on and beyond the university campus. 

If you or someone else is in immediate danger or requires urgent medical assistance, please call 999 for emergency services. 

 

Is Report and Support the same as a complaint and conduct procedure?  

No, Report and Support is primarily used to access support and guidance for both staff and students.  

Students: Your report will go directly to the Student Support Intervention Team; trauma-informed practitioners who offer support around harassment, harmful behaviour, and serious mental health concerns. They provide help and guidance but do not investigate complaints.  

You can raise formal complaints via:  

Staff: Your report will go to the relevant HR team, who can guide you to appropriate support for bullying, discrimination, or sexual misconduct. This is not a formal complaints process, but if you choose to get further support from HR through Report + Support they can provide you with more information and guidance on the process. 

If you want to raise a formal complaint you will need to write to your Head of School/Directorate outlining the details of the grievance and specifying what remedy you are seeking.  If for any reason you are unable to submit your grievance in writing to your Head of School/directorate should contact your local HRBP for support. Please visit the staff intranet for guidance on submitting a formal complaint.  

 What happens with anonymous reports? 

Anonymous reports usually do not lead to any direct action being taken especially if the name of whom you are reporting is not made available to us. However, if enough identifiable information is provided we may be able to investigate further. Please see our Privacy notice for further information.  

We do, however, ensure that any information provided within the anonymous reports is collected for data purposes. When looking at the data, whilst keeping everything confidential, we will attempt to seek out any recurring patterns and discuss any actions that can be taken to improve safety and experience.

5) How secure is my information? 

Data held on our Report and Support platform is GDPR compliant and further information about how data is collected and stored is outlined in the Privacy policy. The system has been security tested by both the developer, Culture Shift, and by the University. 

6. What if I submit a report and it isn’t believed? 

At Cardiff University, we take all disclosures seriously. Staff who handle reports are trained and experienced in responding with care and professionalism. They provide a safe, judgment-free space throughout the support process, regardless of the next steps you choose to take, including, whether you wish to proceed with a formal complaints process. 

What if I witness an incident that makes me uncomfortable, am I able to raise a report? 

Yes, you can. If you witness behaviour or an incident that makes you feel uncomfortable, even if you are not directly involved, you are encouraged to raise a report.  

Creating a safe and respectful environment is a shared responsibility, and your report can help ensure that concerns are addressed appropriately and you can access support should you need it.  

Bystander intervention can be an effective way of challenging inappropriate behaviour and how to work with others if you don’t feel able to challenge this kind of behaviour personally.   

For students, If you’re interested in being an active bystander and how challenging harmful attitudes and behaviours can benefit everyone, you can complete our e-learning module and play your part in keeping our campuses safe. 

Staff are encouraged to attend the in-person bystander awareness training provided by the University.  

If I raise a report, will I be asked what my desired outcome is?  

When you choose to include your contact information while submitting a report, if the person you are concerned about is a student, a member of the Student Support Intervention Team will reach out to you directly. HR will contact you if the concern raised is about a member of staff. This allows us to understand your concerns, explore your preferred outcomes, and identify appropriate resolutions. 

If you submit a report anonymously, we will not be able to offer personal follow-up or tailored support. While anonymous reports are still taken seriously, the absence of contact details limits our ability to provide updates or engage in further discussion. 

What can I do if I want to make a report and its not included on the incident types? 

Student: please use the “other” option which will give you the option of describing the type of incident to us.  

Staff: If you have a concern about behaviour that is not bullying, discrimination or sexual misconduct you should speak to your line manager in the first instance. If you do not feel comfortable speaking to your line manager, local HR or your head of school/directorate are also available to support you.  

What happens if I answer a question incorrectly when submitting a report?  

Once a report is submitted, it cannot be edited by you.  

The answers provided in your report helps us direct it to the appropriate team and provides an initial overview of the incident. 

If you report with contact details a member of staff will also reach out to you to discuss your report if they require clarification or further information.  If any information is found to be incorrect, they can update it in the system to ensure accuracy.  However, if you choose to report anonymously, we will assume the information provided is correct, as we won’t be able to follow up or verify further details.
